This policy explains how personal information is handled when you visit the Brahms Guitar Archive or contact the Archive through this website.
The Data Controller is Giacomo Copiello. For privacy-related enquiries, contact archive@brahmsguitararchive.com.
When you use Contact the Archive, the website may collect your name, email address, an optional subject, the type of contribution selected, your message and an optional attachment. The form does not subscribe you to a newsletter, create an account, request marketing consent or build an advertising profile.
Information submitted through the form is used to receive and reply to enquiries, assess corrections, receive information or documentation concerning the Brahms Guitar, and manage contributions offered to the Archive.
The form accepts one optional PDF, JPG, JPEG or PNG file, up to 10 MB. Contact Form 7 uploads the file temporarily to the website server, attaches it to the notification email and removes the temporary server copy after sending. Once delivered, the attachment may remain with the related message in the Archive's administrative correspondence.
Please do not send personal information that is not relevant to your enquiry or contribution.
Personal information is used only to review the material submitted, respond to the sender, maintain correspondence about the enquiry or contribution, and document relevant corrections, sources or contributions to the Archive. It is not used for advertising, marketing or profiling.
The principal legal basis is the Data Controller's legitimate interest in operating and maintaining an accurate research archive, responding to enquiries, and assessing corrections, documentation and contributions. Where applicable, information may also be processed to comply with a legal obligation. No generic consent checkbox is used because consent is not the basis normally relied upon for handling these messages.
Aruba provides the website hosting and authenticated email delivery used by the Archive. Google provides the Gmail mailbox used to receive and manage administrative correspondence. These services process information only to the extent necessary to provide their technical and communication services, under their applicable data-protection terms. Where a provider processes information outside the European Economic Area, the transfer is subject to the safeguards required by applicable data-protection law.
Messages and related information are kept for the time needed to review and respond to the communication. They may be retained for longer when this is reasonably necessary to document a correction, source or contribution relevant to the Archive, or where further retention is required by an applicable obligation. Information is not retained indefinitely without a continuing reason.
The website does not currently use advertising or profiling cookies, active analytics services such as Google Analytics, or marketing tools. Strictly necessary technical cookies or storage may be used solely for essential operation, security or website administration. Under the website's current configuration, no non-essential tracking tools are active and no prior cookie consent is requested.
The Archive contains ordinary links to external publications, institutions and other resources. When you follow an external link, the privacy practices of the destination website apply.
Subject to the conditions set by the GDPR, you may request access to your personal information, its correction or erasure, restriction of processing, or object to processing based on legitimate interests. Data portability applies where the relevant legal conditions are met. You may exercise these rights by contacting archive@brahmsguitararchive.com. You also have the right to lodge a complaint with the competent supervisory authority, including the Italian Data Protection Authority (Garante per la protezione dei dati personali).
This policy may be updated when the website, its services or the applicable requirements change. The date shown at the beginning of the page identifies the latest revision.
For questions about this policy or the handling of personal information, contact archive@brahmsguitararchive.com.
